Notifications
Notification settings decide which events alert your team and how those alerts arrive. Tuned well, they keep you responsive to leads and customers. Tuned poorly, they bury important events under a flood of pings. This page covers where to configure notifications and how to keep them useful.
Where to configure notifications
Section titled “Where to configure notifications”There isn’t a single account-wide screen that toggles every event against every channel. Notification settings are spread across a few places:
- Your personal preferences in My Profile, where you control which alerts reach you and how.
- Inside individual features — calendars, workflows, and similar tools each carry their own notification options for the events they generate (for example, who gets emailed when an appointment is booked, or a workflow’s email/SMS notification action).
- The mobile app, which delivers push notifications, so those depend on having the app installed and signed in.
Because settings live in more than one place, it helps to think in terms of which feature creates the event when you go looking for the toggle.
Channels available
Section titled “Channels available”Most events can be delivered through one or more channels:
| Channel | Best for |
|---|---|
| In-app | Activity you’ll see while working in the platform |
| A durable record and alerts you’ll catch in your inbox | |
| Push / mobile | Time-sensitive events you must respond to quickly |
Common events you can be notified about
Section titled “Common events you can be notified about”- New inbound message (SMS, email, chat, social)
- New form or survey submission
- Appointment booked, rescheduled, or cancelled
- Task assigned to you
- New contact or opportunity created
Choosing channels
Section titled “Choosing channels”For the alerts that reach you personally, set your channels in My Profile. For event-specific alerts — like a notification when an appointment is booked or a workflow step fires — open the feature that generates the event (the calendar, the workflow) and adjust its notification options there.
Wherever you set them, match the channel to the urgency. A new inbound message usually deserves an immediate push so you can reply fast, while a daily summary is fine by email.
Reducing noise
Section titled “Reducing noise”The most common notification mistake is turning everything on. When every event pings every channel, your team learns to ignore all of them — including the urgent ones.
Practical guidelines:
- Reserve push for events that are genuinely time-sensitive.
- Route informational events to email, where they wait without interrupting.
- Assign ownership: if a task notification goes to one responsible person rather than the whole team, it’s far more likely to be acted on.
The mobile app and push
Section titled “The mobile app and push”Push notifications are delivered through the mobile app. To receive them:
- Install the mobile app and sign in to your sub-account.
- Allow notifications when your device prompts you.
- Confirm your in-app notification preferences enable the events you care about.
Personal vs. team settings
Section titled “Personal vs. team settings”Much of what reaches you is governed by your own preferences in My Profile, while feature-level options decide who is alerted about events like bookings and workflow steps. Encourage each team member to review their own preferences so alerts land with the people who can act on them — and nowhere else.
